Cancellation Policy

1. General Policy

We value your time and commitment to learning a new language. In order to provide the best service and maintain a fair and efficient schedule, we have established the following cancellation policy. By booking a session with us, you agree to the terms outlined below.

2. Booking and Confirmation

  • Booking: All sessions must be booked in advance through purchasing a language activity from the Orbit’s Trail Store.
  • Confirmation: Upon booking, you will receive a confirmation email with the session details. Please review this information carefully and provide your confirmation number to your Language Tutor at the time of your appointment.

3. Cancellation and Rescheduling

  • Notice Period: Cancellations or rescheduling requests must be made at least 48 hours before the scheduled session for all access pass holders regardless of the plan that was purchased.
  • Procedure: To cancel or reschedule a session, please contact us via email at hello@orbitstrail.com. Your request will be acknowledged within 24 hours.

4. No-Refund and No-Exchange Policy

  • Missed Appointments: If you miss a scheduled session without providing the required 48-hour notice, you will not be eligible for a refund or a session exchange. The session will be considered completed.
  • No Refunds: Payments made for language sessions are non-refundable. This includes cancellations made less than 48 hours before the session or missed appointments.
  • No Exchanges: Sessions cannot be exchanged for other services or transferred to another person.

5. Exceptions

  • Emergencies: We understand that emergencies can occur. In such cases, please contact us as soon as possible. We may, at our discretion, offer a one-time exception to the cancellation policy.
  • Tutor Cancellations: If the tutor needs to cancel a session, you will be notified as soon as possible, and you will be offered the option to reschedule the session at no additional cost.

6. Late Arrivals

  • Student Late Arrival: If you arrive late to a session, the session will still end at the scheduled time. No extra time will be added.
  • Tutor Late Arrival: If the tutor is late, the session will still be conducted for the full duration as originally scheduled.

7. Communication

  • Contact Information: Please ensure that your contact information is up-to-date in our records to receive timely notifications.
  • Technical Issues: If you experience technical issues that prevent you from attending the session, please inform us immediately.

8. Agreement

By booking a session with us, you acknowledge that you have read, understood, and agree to abide by this cancellation policy.
